How to Share a Google Form [2023]

Google Forms is a convenient way of collecting information from others which means sharing data with others is also common! You may also need to share the form structure with other users so they can make changes, too.

Sharing a Google Form with Collaborators

If you share a Google Form with collaborators, they will be able to edit the form structure based on access permissions. Follow the steps below.

Step 1: Open your form and click on three vertical dots at the top right corner of the page. Then, select Add collaborators. Alternatively, you can also click Send and then select Add collaborators from the bottom right corner of the pop-up window.

Step 2: You can select the access type under the General access option. If it’s restricted, only the people you give access to will be able to edit that form. If you change it to Anyone with the link, then any user who has that link can open and edit that form.

Step 3: In the new window, you need to type the Gmail address of the target user. Select the user from your list.

Step 4: On the next page, the target username will appear at the top. Access permission as Editor will be selected in the drop-down menu. Tick the Notify people checkbox so that your target user gets an email notification. You can also add any messages you want. Finally, click Send to share the form.

Sharing a Google Form with Respondents

If you want to share a Google Form with people who need to fill out a form, follow the steps below.

Step 1: Open the form you want to share and click the Send button at the top right corner of the screen.

Step 2: The Send form pop-up window will show up. Click the Email tab. The icon looks like an envelope.

Step 3: Under the Email tab, you need to type the email address of the users you want to share your form with. The Subject will be the form name by default. If you want to send additional messages, you can enter that in the Message box.

Step 4: Tick the checkbox beside Include form in email and then hit Send. Your form will be sent to the respondent.

Sharing a Google Form with Anyone via Link

This way, you don’t need the respondents’ emails to share a Google Form. The following steps will show you how to share a Google Form via a link.

Step 1: Open your form and click the Send button. 

Step 2: On the Send form window, you need to click the Link tab. It’s the second icon from the left and looks like a unit of shackles. Under the link tab, the shareable link of the form will be visible.

Step 3: If you want to tidy up the link, check the box beside Shorten URL at the bottom left corner. Then, click Copy to copy the link.

Step 4: Now you can send your link to the target user via any messaging application. For example, you can send the link via text messages, Facebook Messenger, WhatsApp, or any other platforms.

Embedding a Google Form on the Website

If you have a website or blog, you might want to share forms with visitors to fill out the form. See the easy steps below to do it.

Step 1: Open your form and click the Send button.

Step 2: On the Send form window, you should click the Embed HTML tab. It’s the third icon from the left and looks like two angled brackets.

Step 3: An HTML code of the form will appear under the Embed HTML tab. You can adjust the width and height of the form in pixels to customize the size of the form on your website.

Step 4: Once you’re done, click the Copy button and the link will be copied to the clipboard.

Step 5: Paste the copied link to the HTML source code of your website. Your form will then appear on your website.
